What is Unprofessional Email?

Quick Definition
Unprofessional email is a business running on a free address, dispatch1987@gmail.com or the owner's name at Yahoo, instead of an address at its own domain. It is the single most common thing a customer sees before deciding a business is not quite real, and it is rented ground the business does not own.

What A Customer Reads Into It

A quote arrives from a Gmail address. The customer does not think about email providers. They think: is this a company or a guy. The business card has a domain on it, or a Facebook page, and the email does not match either. Nothing about that says fraud, and everything about it says small, temporary, and not worth trusting with a deposit.

It is unfair, and it is how people decide.

What It Costs Beyond Trust

The address is not the business's. The provider can suspend it, and does, with no number to call. Every customer record, every invoice, every contract sits in an inbox under someone else's terms. When the owner retires or an employee leaves, the address goes with them. That is Platform Squatting, and email is its most dangerous form because every business communication runs through it.

Deliverability suffers too. A free address sending invoices and quotes looks, to receiving servers, like every other free address sending whatever free addresses send. A domain with its own SPF, DKIM and DMARC records has a reputation of its own to stand on.

The Fix

Professional Email: an address at the business's own domain, on a mail server the business controls or a provider acting on its behalf, with the authentication records in place. It costs less per month than the free address costs per lost quote, and it is one of the three cornerstones the Digital Foundation names before anything else: a professional domain, professional email on it, and a verified Google Business Profile.

How To Check It

Look at the address on the business card, the invoice and the website. If any of them ends in gmail.com, yahoo.com, aol.com or outlook.com, the business is sending its mail from someone else's house.

The Foundation Connection

Unprofessional email is a cornerstone missing. The Digital Foundation entry is explicit that without a professional domain, professional email on that domain and a verified profile, every further investment is built on sand.
